Policies and Procedures

The first priority is to provide publication subventions to publishers for publication for worthy scholarly/creative manuscripts. Publication subventions are justified when works worthy of publication would not be published without financial support. The fund will also consider subsidies to presses to translate into a second language the scholarly/creative publications of the faculty of Taft departments. A second, and lesser priority  is the support of publication costs to a maximum of $1,000. Taft faculty who are authors of books under contract to a press or accepted articles to a scholar/creative journal can request subsidies for indexing, translations, the preparation of photos, illustrations and maps, and accompanying copyrights.

Qualifying faculty may request publication subvention of their work directly to the chair of the Taft Faculty Executive Board. The publication subvention requests must include the following:

  1. A detailed letter concerning the nature and significance of the work (400 word limit);
  2. Any correspondence with the prospective publisher, including documentation from the prospective  publisher that a publication subvention is required
  3. Copies (in English) of the letters requested by the publisher from outside reviewers recommending publication (note that the committee will consider publication subvention s only to publishers who use external reviewers)
  4. Two page curriculum vitae.  
  5. A copy of the manuscript (if the work is not in English, the author should include a detailed summary of the work)
Any agreement to publish or contract to publish should also be included; however, the Publications Committee normally becomes involved in the project prior to the signing of any such agreement or contract.


Committee Procedures and Policies

The committee will take timely action on publication subvention requests which have followed the procedures outlined above. The committee may contact the publishing company directly concerning the amount of the publication subvention requested or the uses to which it will be put. The committee will consider, first and foremost, the quality of the scholarship or creative work the manuscript contains. The committee will also consider, but to a lesser extent, the reputation for quality of the proposed publisher. Finally, the committee will work with the author and the publisher to speed the publication of work deemed worthy of such support.

Publication subvention s are made with the following priorities in mind. Of highest importance are original scholarly works and creative works, including edited translations. Of secondary importance are collections, edited works, and unedited translations, or translation of an already published work into another language. Of lowest importance are edited journals or book series. Publication subvention s are not made for textbooks or for books that are primarily for pedagogical uses. Monies from the Taft Fund are not to be used for expenses arising from advertising or promotion of the published work; publication subvention s are to cover part of the manuscript preparation and/or production costs of publication.

Publication subvention s are made in U.S. dollars only, up to a maximum specified by the Taft Faculty Executive Board. When publication subvention s are made for works to be published by foreign publishers, fluctuations in the value of the US dollar are not to be considered and such changes become the responsibility of the author or the publisher.

When the Taft Publications Committee has made a positive recommendation, the chair of the Publications Committee will send the author three copies of a memorandum of agreement between the Taft Faculty Executive Board and the author, specifying the terms of the publication subvention . Signed copies are sent to the Committee and to the publisher for inclusion in the Contract to Publish.

The terms of the publication subvention will normally include (1) that the publication shall acknowledge support of the Charles Phelps Taft Memorial Fund, University of Cincinnati; (2) that any royalties or other monies received by the author as a result of this publication shall be sent to the Taft Fund until the entire publication subvention has been repaid to the Taft Fund; (3) that the memorandum of agreement shall be made part of or an addendum to the author's contract or agreement to publish; (4) that the author and publisher agree that the author may order such a number of copies of the book as the Taft Faculty Executive Board shall require, at author's discount price, to be charged to the royalty account, and (5) any additional conditions which the Taft Faculty Executive Board may require.
