Extended Sick Leave for Faculty

Article 17 Sick Leave
17.1 Earn fifteen (15) days per year while in active pay status up to a maximum of three hundred (300) days
17.2 Sick Leave Bank for the use of Bargaining Unit members who have exhausted their accumulated sick leave days
17.3 Use sick leave whenever he or she is unable to attend to his or her duties because of personal illness, injury, exposure to contagious diseases, or because of illness, injury, or death in his or her immediate family
17.4 Member shall immediately notify head and advise estimated duration of absence
17.5 Report sick leave days on University form A-1328b (Time off from work - AAUP)
17.6 Disability or illness caused or contributed to by pregnancy, miscarriage, abortion, or childbirth, or recovery there from shall be treated as any other illness or disability. Accumulated sick leave days may also be used for normal childbirth
17.9 Extended Sick Leave
 17.9.1 If absences exceed fourteen (14) days, the Bargaining Unit member must notify his or head of the probable duration of the absence. The academic unit head shall forward this information to the dean who then forwards to the provost for implementation of an extended sock leave
 17.9.2 Physician's statement for extended sick leaves needs to include his or her continued disability or illness and date of probable return

 

Mechanics

  1. The faculty member should submit in writing a request for extended medical leave with physician's statement

    If the faculty member is unable to do so, the department head may request the extended medical leave on behalf of the individual providing medical information known as of that date. When possible, the faculty member should submit his or her own request with physician's statement.

  2. Department head writes an endorsement of the request and forwards with the individual's request for leave to the dean.

  3. Dean endorses request and forwards documents to the provost's office.

  4. Provost's office notifies dean to implement extended sick leave

  5. College business office submits Personnel Action Form (PAF) to formally place the faculty member on leave

  6. Sick days are reported for the faculty member at the end of the quarter by PEIS. The department should not report sick days for faculty on extended sick leave on the PVR.

 

Budgetary Impact of Reporting Extended Sick Leave

All sick leave reported over 160 hours (20 days) will be charged to a central fringe benefit account.

 

Effect on Individual's Accumulated Sick Leave Balance

  1. Continue to accrue sick days while in active pay status

  2. There is a maximum accrual limit of 300 days or 2400 hours

  3. May borrow days

  4. Maximum payment for accrued sick leave at retirement is either thirty (30) or sixty (60) days. (Article 17.13)

 

University of Cincinnati Policy for Funding of Extended Sick Leave Payment

Employees reported on sick leave will have the first 160 hours of sick time charged to department funds. All sick leave reported over 160 hours will be charged to a central fringe benefit account. The 160 hour count of sick time is accumulated separately for each fiscal year. Beginning each July 1 and ending each June 30, all sick time reported accumulates towards the individual's 160 hour maximum charged to department funds. The 160 hours do not have to be consecutive for this policy to apply.

If a department has a faculty member on extended sick leave, the department should notify their dean's office or the Senior V.P. and Provost office. These offices can advise the unit how to proceed with processing the extended sick leave in accordance with the AAUP contract. Faculty who are appointed on a 32-week appointment and exceed the 160 hours of sick leave have their sick leave funding expense calculated by Payroll and Employee Information Services (PEIS). In this instance, PEIS notifies the college or department of the amount being charged to the central benefit account.
