Graduate Student Registration Data -- Information Key

Pgm Area Code: (PSYC) Indicates academic area of study. Students can have multiple programs. The oldest open program defaults as the primary academic program. All academic programs can be viewed in UniverSIS, Stu-Acad-Prog.

Prim Acad Program: (i.e., 15PHD, 15MA) - indicates college 15 (College of Arts and Sciences) and degree level of the program being pursued, i.e., masters or doctoral. Only those students with a 15PHD or 15Mx program are selected for this report. Students who are in an A&S graduate program but are not properly coded as Arts & Sciences graduate students in UniverSIS will not show on the report with their course information because their data are not selected. Also, students can have multiple academic programs. The oldest open program is the primary program default. If the default program is not an A&S graduate program, the student will not show with the courses. The academic programs can be viewed in UniverSIS, Stu-Acad-Prog.


Student ID: The Social Security number or a UniverSIS assigned student ID

Highest degree: This data is obtained from UniverSIS, Coll-Transcript

Contract ID: UGS0375R - Identifies the department that is awarding the "contract" (funds to pay tuition or fees):
UGS indicates it is a University Graduate Scholarship.
0375 indicates the ORGN accounting code from the CUFS account number of department awarding the UGS.
R indicates the award is restricted to specific types of fees, i.e., tuition.
U indicates the award can be used to pay any fees and generate a check to the student if there is excess.

UGS amount: Indicates the amount of UGS dollars awarded to the student for the quarter.

Status Full/Part:
Full-Time indicates students registered for >=10 credit hrs
.Part-Time indicates students registered for l-9 credit hrs.
Not reg. indicates students registered for 0 credit hrs; this status can be assigned when the students' primary academic program is not A&S graduate level causing the course data not to be selected for the report. Students with a UGS who are not coded correctly appear to be not registered.

GRAD CRD HRS TOTAL: Indicates the Graduate Credit Hours Total accumulated by the student through the end of the prior quarter. It includes all graded credits of A, B, C, P, I, NG, and IP. It does not include F and U grades and Advanced Standing. Students receiving Graduate Assistantships, Fellowships or University Graduate Scholarships funded by University General Funds, allocated through and monitored by the Division of Research and Advanced Studies, must carry a course load of 12 graduate credits or more each quarter exclusive of audit credits. These awards may not be awarded to students who have accumulated 260 (or 209 if their master's degree is from another institution) or more graduate credit hours. Graduate assistantship and tuition scholarship awards from other University funding sources and external sources are not specifically covered by these rules. The Division of Research and Advanced Studies encourages each academic unit to apply the policies stated herein to those awards.

Credit totals are given for graduate credit hours (G Hrs), undergraduate credit hours (U Hrs), other credit hours (O Hrs) and audit credit hours (may include graduate-audit and undergraduate-audit) (Audit Hrs). G Hrs must equal or be greater than 12 for a student to fulfill the registration requirement of the UGS award.

Pgm Area Code: (i.e., Psychology) Notice that the name is not a four character UniverSIS academic program designation (i.e., PSYC). The data on any sheet with a fully displayed program name is data pulled from the Student Accounts module of UniverSIS only. These students have a UGS awarded by the department indicated in the Pgm Area Code. The students on this page are either: (1) not registered as the Status Full/Part indicates or (2) they are registered but not coded as 15MA, 15PHD, or 15-graduate level code in the Prim Acad Program. Check UniverSIS, Stu-Schedule to see if a registration exists under different program codes. Check UniverSIS-Stu-Acad-Prog to see all the programs of the student. The oldest open program defaults as the primary program. New students must have CF entered on the UniverSIS, Admiss-Decision screen to open the program. Other changes in program should be requested through the A&S Business Office or the Office of the Registrar.
