Managing Graduate Enrollments to Assure Appropriate Registration for Scholarships and Subsidy/Ohio Board of Regents (OBR) Head Count

- The Role of the Graduate Staff Person in the A&S Departments

The graduate program staff person in each A&S department is involved in assuring that our graduate student enrollment is accurate and appropriate in time for the OBR counts. The University Graduate Scholarships (UGSs) awarded to graduate students require an enrollment of 12 graduate credit hours (not including undergraduate or audit credits) for the scholarship.

UC's state subsidy is determined by OBR head counts taken each quarter. It is important to verify that each graduate student is enrolled and coded accurately and appropriately before the OBR count day. The following resources are available for use in checking and monitoring the registrations.

· A printout of registration data is provided. The printout is pulled from UniverSIS (via GQL and the UC-Teradata Warehouse) by the A&S college office. The registration data should be current as of the close of business one day prior to the date on the printout.

· The list of UGS recipients is provided. The data is also from UniverSIS. The UGS data may lag some days behind UniverSIS because it is the last set of data to update in the UC Teradata Warehouse in overnight processing. If the time for overnight processing ends before it is done, the Student Accounts data does not get updated. Double check UniverSIS on-line if you see an irregularity. Ongoing irregularities should be reported.

· Various student records and student accounts data are available on-line through UniverSIS. STUD-SCHEDULE, GRADE-REPORT, STUDENT-BILL, E160-…, and STUDENT-CONTRACT should be useful for checking on registration changes, billing problems, and UGS awards.
